Cancellation Policy and Payment Terms

These terms and conditions (“Terms”) govern your enrolment in courses offered by Royaa Aesthetic Academy (“the Academy”). Please read these Terms carefully before making any bookings or payments.

1. Enrolment and Payment

1.1. To secure your enrolment in any course offered by the Academy, you must make full payment of the course fee. The course fee includes tuition and materials.

1.2. Upon booking, 50% of the course fee is immediately non-refundable.

2. Cancellation Policy

2.1. Bookings which are cancelled less than 1 month prior to the course start date are 100% non-refundable.

2.2. Please note that cancellation charges apply as follows:

   – Cancellation more than 1 month before the course start date: 50% of the course fee will be refunded, excluding the initial non-refundable 50%.

   – Cancellation less than 1 month before the course start date: No refunds will be provided, and the full course fee will be forfeited.

2.3. We require at least 1 month’s written notice to make any changes to your course booking or training dates. We are unable to reschedule or move any training course bookings that fall within 1 month of the course date.

3. Course Cancellation by Royaa Aesthetic Academy

3.1. In the event that the Academy has to cancel a course due to circumstances beyond its control, including but not limited to terrorism, war, political insurgence, insurrection, riot, civil unrest, act of civil or military authority, uprising, earthquake, flood, or any other natural or man-made eventuality outside of the Academy’s control, we will offer you the opportunity to reschedule your training course booking to a later date.

3.2. In such circumstances, any requests to cancel a course booking would be covered under our usual cancellation terms, as outlined in section 2 of these Terms.

4. Course Schedule Changes

4.1. The Academy reserves the right to amend or cancel any training date or location. In the event of such changes, our staff will contact delegates immediately and arrange an alternative date.

4.2. The Academy does not accept responsibility for any travel expenses or accommodation costs incurred by delegates due to changes in course schedules or locations.

5. Delegates’ Conduct

5.1. The Academy reserves the right to cancel course bookings or withdraw delegates from the course if we deem their conduct to be disruptive, defamatory, or impeding the progress of the course or the learning experience of other participants. In such cases, no refunds will be provided.

6. Use of Course Materials

6.1 License for Use

6.1.1. Upon enrolment in a course at Royaa Aesthetic Academy, we grant you a non-exclusive, non-transferable license to use the Course Materials provided solely for the purpose of your professional development and improvement.

6.2 Restrictions on Use

6.2.1. You are expressly prohibited from making any copies of the Course Materials, distributing, or sharing the Course Materials with any third party, whether for commercial or professional purposes. The Course Materials are deemed strictly confidential and proprietary.

6.3 Preservation of Proprietary Marks

6.3.1. You are expressly prohibited from removing, suppressing, or modifying any proprietary markings, including but not limited to copyrights, trademarks, or any other form of identification, from the Course Materials.

7. Data Protection and Confidentiality

7.1 Handling of Personal Data

7.1.1. During your participation, you acknowledge and agree that you may have access to Personal Data pertaining to the Models. You are permitted to utilise such Personal Data solely for the purpose of determining the suitability of an aesthetic procedure for the respective Model and subsequently administering said aesthetic procedure. You are strictly prohibited from retaining, copying, or employing the Personal Data for any other purposes. It is further agreed that all Personal Data associated with a Model shall be treated as confidential.

7.2 Use of Model Photographs

7.2.1. In the event that you capture a photograph of a Model during the Course, you are authorized to employ said photograph exclusively for the purpose of evaluating the aesthetic procedure you have administered. You are expressly forbidden from sharing the photograph with any individual, posting it on social media, or disseminating it in any online forum. Upon the Model’s request, you shall promptly delete the photograph from your device, including any backups thereof.

8. Liability Waiver

8.1. By enrolling in a course at Royaa Aesthetic Academy, you hereby unconditionally and irrevocably waive all and any rights, claims, or actions, whether arising now or at any time in the past or future, that you may have or may have had against the trainer, the facility, all personnel associated with the course, and Royaa Academy, its agents, representatives, officers, directors, employees, and affiliates (collectively referred to as “Released Parties”) arising out of or in connection with your participation in the course.

8.2. This waiver includes, but is not limited to, any claims for personal injury, damage to property, or any other loss or harm that may occur during the course or as a result of any training, instruction, or activities conducted by the Released Parties.

8.3. You acknowledge and agree that this waiver is a material part of these Terms and Conditions, and you enter into it freely and voluntarily with the understanding that you are relinquishing certain legal rights.

9. Complaints Procedure

9.1 Formal Complaints

9.1.1. Trainees/Models who wish to lodge a formal complaint are advised to submit their complaint in writing to the Complaints Manager at Royaa Aesthetic Academy’s Head Office. Complaints should be sent to academy@royaa.com.au. In the interest of data protection and confidentiality, we will acknowledge receipt of the complaint exclusively by email. Responses to complaints will be communicated in writing; therefore, we require the complainant’s postal address. Additionally, we may request further information for verification purposes, such as the date and location of the complaint.

9.1.2. A written acknowledgement of the complaint will be dispatched within two business days.

9.2 Complaint Review

9.2.1. Upon receipt of all relevant information pertaining to the complaint, the Complaints Manager will conduct a thorough review to determine whether the complaint is substantiated or not.

9.3 Investigation Outcome

9.3.1. Following the completion of the investigation, the complainant will receive a formal letter from the Complaints Manager containing a comprehensive written account of the investigation’s findings within 20 business days.

9.4 Timeliness of Complaints

9.4.1. Complaints should be submitted as promptly as possible, within 3 months of the date of the event giving rise to the complaint or as soon as the matter first becomes known to the complainant.

By enrolling in a course at Royaa Aesthetic Academy, you acknowledge and agree to the terms outlined in these Terms and Conditions.

These Terms and Conditions may be updated by the Academy from time to time, and it is your responsibility to review them periodically for any changes.
